This is an onsite position on our Cullowhee campus.
The successful candidate will provide support to the department head, other department faculty, assist in the management and administration of the office, maintain department and grant budgets, maintain department records, and greet and assist students, staff, and visitors.
Duties include, but are not limited to: assistance in preparation of reports, creation of semester schedules in Banner, supervision of student office employees, processing of requests for travel authorizations and reimbursements, administer grant funds, support our graduate program, performance of some clerical duties, submission of online requisitions in Banner, department purchasing and catering, grant support, networking across the university, facilities requests, maintenance of student work records, working as part of a team to serve the education of students, and working on various activities related to the operation of the Department.
The person in this position administers the Literary Festival, which is the Department’s signature event, as well as the Fall Speaker Series and other speakers supported by the Department.
This work requires the ability to run a major event: event planning; in-depth understanding of WCU’s systems used to pay related obligations (dual employment, payment to external contractors, payments to students, payroll systems, knowledge of fund usage and restrictions); ability to communicate effectively with writers, agents, and publishers; ability to arrange catering, parking, hotel reservations, food for visiting writers; ability to create/disseminate publicity in the form of printed texts, social media, university announcements; ability to distribute grant funds and write reports.
Knowledge, Skills, & Abilities Required for this Position The ability to multitask in a busy office environment; organizational skills and ability to prioritize and organize tasks as they come into the office; self-motivation to meet deadlines without direct supervision; high degree of proficiency in software in programs like Word and Excel, as well as in database programs; ability to maintain a long-term calendar of report and task due dates from year to year; knowledge or ability to learn university computer software like Banner; the ability to communicate effectively in both written and oral formats.
Minimum Qualifications High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
