JOB SUMMARY: The Purchasing Associate is responsible for creating, processing, administering, and delivering Purchasing Requisitions and Purchase Orders for 200+ services and materials throughout the organization.
The Purchasing Associate will be responsible for supporting the broader Supply Chain team and work closely with other cross-functional partners (Quality, R&D, Warehouse, Marketing, Sales, Finance, IT) to drive supply-chain and operational efficiencies as identified.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Reviews purchase requisitions (PR), converts PRs to purchase orders (PO), and provides confirmation back to stakeholders.
Confirms vendors’ ability to meet PO requirements such as on-time, in-full (OTIF) delivery at or below previously negotiated purchase prices prior to placing/confirming POs.
Communicates with vendors after PO submission for status updates and provides feedback to internal stakeholders.
Maintains vendor and item master data to include, but not limited to: minimum order quantities, maximum volume commitments, terms and conditions (T&C), and pricing in company enterprise resource planning (ERP) software system to allow transparent and real-time system adjustments.
Ensures all vendor documentation is provided and correct prior to receipt of materials.
Monitors and reports weekly PO status for all items on order; value of outstanding POs due by week, escalating issues as they arise.
Notifies key stakeholders and documents vendors’ unexpected performance and price variances.
Effectively and efficiently communicates with and between vendors and internal customers who may need further information or clarity to ensure proper part or service is ordered and received.
Takes key role in resolving any non-confirming receipt (damaged, wrong part, short-shipped, over-shipped, etc.
) by working with vendor, internal requisitioners, receiving, and accounts payable.
Responsible for collecting all certification documentation for new suppliers and items as needed.
Utilize ERP to determine what, how much, and when to buy materials and/or services.
Educates Gaia vendors on Gaia’s receiving policies, as well as other best practices established by Gaia for minimizing shipping damage.
Tracks key supplier performance data points for periodic evaluation and annual scorecard.
Continuous Improvement practitioner, always looking for a better way to improve processes.
Pursues professional development opportunities in order to bring and apply best in class practices.
Assists department management with administrative assistance in submitting necessary QA paperwork for new items, new suppliers and spec changes for existing items.
SUPERVISORY RESPONSIBILITIES: None Requirements: QUALIFICATIONS: Education and/or Experience: Bachelors degree or 1+ year of purchasing experience as a buyer or intern Knowledge, Skills and Abilities: Language: high proficiency in English reading, writing, oral presentations; routine and regular communications via telephone, email, and video conference with stakeholders inside and outside of Gaia.
Math: basic proficiency in adding, subtracting, multiplying, dividing, calculating percentages in all units of measure including using factors (converting from US to Metric) Reasoning: strong critical thinking, strategic thinking and analytical skills Other qualifications: willingness to take initiative, ability to exercise independent judgement, exemplary interpersonal skills, ability to thrive in a fast-paced environment, impeccable attention to detail, successful negotiation skills.
Knowledge: general knowledge of the process flow of purchasing, inventory control, general ledger & cost centers, and shipping & receiving Software: high proficiency in Microsoft Office Suite.
Familiarity with company provided software tools, preferably ERP systems.
