Perform all functions related to receiving and directing telephone calls, clients, vendors and deliveries to appropriate individuals within the firm.
* Open and close the firm lobby daily.
* Operate a multi-line telephone console and relay incoming, outgoing and intra-office calls to the appropriate individual.
* Obtain and relay messages to attorneys and staff with accuracy and promptness.
* Greet clients, visitors and vendors to the firm and ensure the proper attorney and/or staff member is made aware of their arrival.
* Act as the phone system administrator for changing firm voicemail greetings, maintain “night-call”, distribute phone lists, etc.
* Receive deliveries made to the firm and routes them accordingly to the proper recipient.
* Ensure the reception, lobby and conference room areas are neat and organized.
* Post and oversee conference room schedules daily.
* Order and maintain inventory for office, coffee station and kitchen supplies.
* Obtain and distribute mail and faxes in the absence of the courier; contact external courier service when deemed necessary.
* Maintain the attorney, staff and Drhumor Building tenant parking list.
* Act as back up to the courier as necessary.
* Receive payments, update internal contacts, scanning projects and file review projects.
* Perform other duties as assigned.
High School diploma or GED with the ability to speak, read and write; fluent English required.
Must possess a valid NC driver’s license with a clean driving record; must have access to a non-firm owned motor vehicle.
Working knowledge of a multi-telephone line system and possess the skills to record detailed messages in an accurate and professional manner.
Proficient in Microsoft Office ie.
Word, Excel, PowerPoint and Outlook.
Familiarity with downtown Asheville would be beneficial.
Knowledge of general business office procedures and be able to multi-task.
Must be able to react quickly with little supervision and minimal access to backup assistance.
Possess excellent interpersonal, clerical and telephone skills and strong verbal and written communication skills.
Ability to establish and maintain effective working relationships with attorneys, clients and staff; ability to provide information with ordinary courtesy and tact; utilize time management skills.
Individual must always present a professional image.
