Job Title: Executive Assistant

Location: Town Office, Asheville, NC
Summary:
The Executive Assistant provides high-level administrative support to the Executive Director with the day-to-day business of the organization including scheduling meetings and maintaining the Director’s calendar, preparing correspondence, coordinating travel, and NCOBS Board of Directors administrative related functions.
This individual exhibits a high level of professionalism and possesses excellent written and verbal communication skills and interpersonal skills to interact with donors, board members, clients, and staff under the direction and guidance of the Executive Director.
This individual can tactfully navigate confidential matters, is a self-starter, extremely organized, has a keen eye for detail, and highly developed problem-solving skills.
Essential Duties and Responsibilities:
Provides full administrative assistance to the Executive Director.
Acts as liaison to the Board of Directors and board Executive Committee; organizes four board meeting per year, two online and two destination meetings; secures venue, orders meeting refreshments/meals and prepares meeting rooms; attends all board meetings, records, transcribes, and distributes meeting minutes; maintains historical files, and assists board members with requests.
Maintains Director’s appointment calendar by scheduling meetings, teleconferences and travel including itineraries, airline reservations, hotel accommodations, rental cars, and all other travel needs.
Prepares Director’s mileage expense report; reconciles corporate credit card statements and provides required back-up.
Conserves Director’s time by reading, researching, and routing correspondence; drafting letters and documents; and screening and rerouting phone calls.
Maintains Director’s board and donor lists; prepares and mails donor correspondence, invitations, and acknowledgement letters.
Maintains personnel and board confidence and protects operations by keeping information confidential.
Organizes off-site staff meetings and Leadership Team retreats.
Assist the Executive Director and Development of Advancement in preparing background materials and research in advance of major donor meetings.
Working Conditions:
Hybrid position, hours negotiable.
Travel to Outward Bound base camps, regional board meetings, and other sites as needed.
Must be able to lift 40 pounds.
Qualifications:
Strong written and verbal communication skills.
Ability to represent the organization professionally and appropriately at all times.
Prior experience demonstrating a high level of work ethic and integrity with the ability to maintain confidential information; demonstrated ability to be discrete when handling privileged information.
A self-starter with the ability to work independently within a team structure.
Attention to detail and strong organizational skills.
Strong familiarity with computers and database platforms, preferably Salesforce, and proficiency with MS Office programs.
Knowledge of nonprofits and fundraising practices.
Compensation and Benefits:
Salary Range = $25,000
