The Registrar is responsible for the supervision and management of all administrative and operational functions of the Office of the Registrar.
The Registrar ensures the integrity, accuracy, and security of all academic records of current and former students; facilitate effective student registration and enrollment; and maintains up-to-date course schedules.
The Registrar supervises the processes for the articulation of transfer credits, graduation and certification of degree and certificate program, SEVIS certification, enrollment, and degree verification, production of official transcripts, diplomas, and commencement ceremonies.
The Registrar counsels and advises students, faculty ,and staff on questions relating to academic records; and interprets and enforces policies and regulations of the institution and FERPA.
OBLIGATIONS OF THE REGISTRAR
Hours: The Registrar is a full-time employee.
Full time employment is based on 40 hours per week of day and/or evening hours.
The regular schedule should include hours which allow both day and evening students access to the Registrar.
Administrative Duties:
Provide quality student service in the areas of advisement and registration.
Supervise and maintain accurate and confidential academic student records including receipt and/or issuance of transcripts & GED certificates, acceptance of transfer credit, and maintenance of accurate South College transcripts.
Ensure all procedures using the institutional administrative records systems are completed accurately and timely.
Ensure that all admissions policies have been met by admitted students.
Ensure procedures for security of academic student records are following appropriately and consistently, including FERPA policies and procedures.
Lead creation and publication of quarterly course schedule, maintaining four future quarters in draft form at all times.
Organize the registration and pre-registration process, working with advisors as appropriate.
Ensure that class sizes remain within established limits and manage wait lists.
Supervise preparation and maintenance of required attendance and academic participation posting procedures.
Complete student withdrawals and graduation procedures as per schedule established by the college.
Supervise the grade submission and posting process at the end of each quarter.
Assist with admission testing as needed.
Attend all faculty meetings.
Supervise ordering of all caps/gowns and diplomas for graduation ceremonies.
Assist in all other graduation preparations and arrangements as requested by the EVP.
Assist in determining college policy and curriculum changes when requested.
Assist in budget preparation for the office.
Adhere to all college policies as described in the job description, employee/faculty handbook, or other separate guidelines.
Other duties as deemed necessary.
Requirements:
Education: Bachelor's Degree, prefer Graduate Degree
Experience: Practical experience in business and/or Administration, prefer experience in higher education environment
